For Architects
EVERY STAGE.
EVERY
STAKEHOLDER.
ONE RECORD.
From contract award to handover, BuildHub keeps every instruction, variation, document and sign-off in one shared, tamper-resistant workspace — visible to you, the contractor and the homeowner.
The problem
THE SITE MOVES FASTER
THAN THE PAPERWORK.
A contractor makes a call on site. The homeowner agrees verbally. Three weeks later, nobody remembers who said what — and you are the one fielding the call.
Or a variation comes in. You specify the change. The builder implements something slightly different. The client says it was never what they agreed. You have an email from six months ago and a memory of a conversation. That is not enough.
BuildHub puts a structured, shared record around every decision — so when questions arise, there are answers that do not depend on anyone's recollection.
Instructions & Sign-offs
EVERY INSTRUCTION.
FORMALLY RECORDED.
Every instruction you issue, every drawing you upload and every decision that is made on the project is logged in BuildHub with a timestamp, the author's identity and the full context. Not buried in a thread of emails — structured, searchable and permanent.
When a homeowner asks "was this in the original scope?" — the answer is in BuildHub, not in your inbox.
- Structured document categories: planning, structural, legal, photos
- 10-minute deletion window — after that, voiding-only with a permanent record
- All uploads timestamped with uploader identity
- Searchable across the full project history
- Accessible to invited stakeholders only
Variation Management
CHANGES CONTROLLED.
DISPUTES PREVENTED.
The 3-Stage Handshake turns every scope change into a formal, documented process. The change is raised and discussed with context logged, the contractor submits the variation with cost impact clearly itemised, and the homeowner digitally approves or rejects it — with date, time and exact figures permanently recorded.
As the architect, you have a record of every variation that went through the project, approved or rejected, with the full audit trail intact. That record does not rely on anyone's memory.
The 3-Stage Handshake
Discuss → Propose → Approve. Every change signed off before work begins.
Client Communication
YOUR CLIENT STAYS
INFORMED. WITHOUT
CALLING YOU FIRST.
Homeowners with BuildHub access can see current project progress, payment status and the full communications log directly in their portal. Questions about what has been paid, what is outstanding, and what was agreed are answered by the platform — not escalated to you.
When a homeowner does have a question that needs a professional opinion, they can message directly through BuildHub. That conversation is logged — not lost in a WhatsApp thread nobody can find in six months.
- Homeowner portal with live project visibility
- Messaging with full history retained
- Progress updates pushed to homeowner automatically
- Payment schedule visible to all parties
- AI-assisted client updates in the contractor's voice
Professional Record
THE RECORD THAT
PROTECTS YOUR
PRACTICE.
A professional indemnity claim rarely comes with good evidence on either side. Email threads get deleted. WhatsApps get lost. Memory is selective.
BuildHub creates a structured, timestamped audit trail — every instruction issued, every variation approved, every document uploaded, every message sent. Not a legal guarantee of anything, but a comprehensive factual record that makes disputes substantially harder to sustain.
Projects where the record is clear tend not to become disputes at all.
The Vault
Nothing disappears silently. 10-minute deletion window, then voiding-only — with a permanent record of the voiding.
How It Works
YOU ARE INVITED IN.
NOT SOLD ANYTHING.
The contractor sets up the project
The builder or developer runs the project on BuildHub. They invite the homeowner, and can invite you as an architect or consultant collaborator. You get access at no cost.
You work within a shared workspace
Upload drawings, issue instructions, review and approve variations — all within the same workspace the contractor and homeowner are using. No separate systems, no forwarding emails, no version confusion.
The record builds itself
Every action — upload, message, variation, sign-off — is automatically timestamped and logged. By handover, you have a complete, ordered project record without having to compile anything manually.
FAQ
QUESTIONS FROM
PRACTICES LIKE YOURS.
Do architects pay for BuildHub?
BuildHub is paid for by the contractor. As an architect or architectural technologist overseeing the project, you can be invited to the project at no cost to you.
Does BuildHub follow RIBA stages?
BuildHub is a construction-phase platform — it sits in RIBA Stages 5 and 6 (Construction and Handover). It gives you a shared record of every decision, variation, document and sign-off from contract award to handover.
Can I be invited to multiple projects?
Yes — you can be a collaborator across as many BuildHub projects as you are invited to, regardless of how many different contractors are running them.
Will my client still call me with questions I have to chase the builder to answer?
Much less often. Homeowners with BuildHub access can see current progress, financials and communications directly in their portal. Questions about what was agreed, what was paid, and what is outstanding are answered by the platform — not by you.
How does it help with PI insurance?
BuildHub creates a complete, timestamped record of every instruction, variation approval, document upload and decision. If a professional indemnity claim ever arises, you have a detailed project history that is substantially harder to dispute than email chains and memory.
What happens to the records after the project completes?
Project data is retained beyond completion. Documents, communications and sign-offs remain accessible for the lifetime of the relationship between the contractor and homeowner — useful for defects periods and future reference.
Can I control what the homeowner sees?
Visibility settings are managed by the contractor who runs the project. Architects are invited as collaborators and see the project record. The homeowner portal shows a curated, client-appropriate view of project progress, finances and communications.
Is BuildHub suitable for design-and-build contracts?
Yes — particularly for design-and-build or contractor-led projects where you are providing architect services directly to the contractor. BuildHub keeps the full chain of instructions and approvals in one place, protecting everyone in the event of a dispute.
